What is it?
The Message system within Listingbook allows you to easily and efficiently manage all communication with your Clients and other Agents. The Message Grid View is separated into two sections. The top section displays all the messages between Clients, Agents, and any other contacts. The bottom section displays all of the Listingbook System Messages. The Message Grid View includes all of the features you expect from a messaging system. The Inbox, Sent, and Deleted Folders all have full-featured Filters and Search capabilities.
How do I use it?
All messages are displayed in a specific folder; Inbox, Sent, or Deleted Folders. Each folder includes the ability to open messages and view the content. All recipients, attachments, and content are displayed within the message. The ability to view multiple discussions is provided within each open message. All of the messaging features you have come to expect are provided within the Listingbook Messages System.
The compose message functionality is displayed in the Compose Folder. Recipients are added to the message in one of two ways. Simply type into the “To:” field where a type-assisted functionality will display Contacts from your Address Book or click the “To:” button to display a list of Address Book Contacts. All the other standard messaging features are provided such as Subject, Message, and the ability to attach a Listing. The Listings displayed in the attachment drop down will only be the Agent’s Listings.
Search and Filter functionality may be used limit the display of messages in each folder to find a specific message or type of message. Simply enter search criteria and click the “Search” button to limit the Message Grid to items that match your search. The Filter Drop down may be used to limit the display to specific Contacts, Read, or Unread Messages. The Message Grid will automatically update based on your interaction with the Search and Filter features.
Compose – Allows you to create a new message for any of your Clients, Agents, or other Contacts displayed in your Address Book.
Inbox – Displays all incoming messages from Clients, Agents, and other Listingbook Contacts; plus provides a separate grid for all Listingbook System Messages.
Sent – Displays all the messages you have sent to recipients through the Listingbook Messages System.
Deleted – Displays all the messages you have deleted from either of the Messages Folders. The Deleted Folder is separated into two sections for both standard messages and Listingbook System Messages.
Filter – Drop down that enables you to display specific types of messages in each folder. The Filter can be set to Read, Unread, and specific Contacts; so that the Messages Grid will only display certain types of messages.
Show – Checkbox that allows you to choose the type of Messages to display. Removing a check from either the User Messages or System Messages checkboxes will enable the user to limit the messages displayed in the Messages Grid.
Search – Allows you to search the Messages Grid for specific messages based on the search criteria entered.
System Messages – Messages generated by the Listingbook System to notify you of specific features, announcements, and benefits of the Listingbook Application.
How do I send a Message? The compose message functionality is displayed in the Compose Folder. Recipients are added to the message in one of two ways. Simply type into the “To:” field where a type-assisted functionality will display Contacts from your Address Book or click the “To:” button to display a list of Address Book Contacts. All the other standard messaging features are provided such as Subject, Message, and the ability to attach a Listing. Enter all the required fields to compose a message, and click the “Send Message” button to complete the send message process.
Can I send to Multiple Clients/Agents? Yes, type into the “To:” field where a type-assisted functionality will display Contacts from your Address Book or click the “To:” button to display a list of Address Book Contacts. Once the Contacts drop down is displayed, then simply select the checkbox for each person you would like to receive the message. You can also select to send to a Group. All Contacts are managed through the Address Book.
How do I hide Listingbook System Messages in my Inbox? Remove the checkbox next to System Messages label for the “Show:” feature displayed beneath the Filter drop down.
Can I sort or filter my Messages? Yes. You can filter your messages by clicking the Filter drop down menu to select to view only Unread, Read, or specific Contact messages. "All Messages" is the default setting in the Filter drop down. Plus you can click the column headers on the grid to sort each column. Clicking the header once will sort the data from ascending to descending order. Clicking the header a second time will sort the data from descending to ascending.
Can I delete Messages? Yes, selecting the checkbox next to any message displayed in the Messages Grid will display a “Delete Selected” button on the menu. Clicking the “Delete Selected” button will place the selected message(s) into the Deleted Folder. The message in the Deleted Folder may be permanently deleted or restored to the original folder.
Listingbook has been configured to print using the default settings of both your operating system (Microsoft Windows or Apple OS X)and your browser (Internet Explorer, Firefox or Safari). If you are experiencing printing issues, please consult your operating system or browser documentation to revert your print settings.
