Client Manager : Client Dashboard

What is it?




Client Dashboard is your gateway to all of your Client's account information. The dashboard is the central location for your Client's Home Finder results, Views, Favorites, Rejects, Agent Picks as well as the ability to specify or edit Home Finder criteria and assign a listing to the Client. Also included in the Client Dashboard is the ability to create additional accounts, edit contact information and resend the Welcome Email if the Client has not activated their Listingbook account.

How do I use it?




Each tab in the Client Dashboard relates to a specific function. These tabs include the following:

Accounts –  This tab allows you to view the Clients that are grouped within the folder as well as the ability to add/edit contact information. Functions include the ability to create additional accounts, send a message to every client in the folder, edit account information, resend welcome email and delete Clients from the folder.

Home Finder –  This tab allows you to view active properties that satisfy your Client's search criteria. When a Client has matching results, active properties will be displayed on the map and in the "One Line" and "Comparison" tabs below the map. If a Buyer does not have a Home Finder created for them, then a message in the "One Line" and "Comparison" tabs will appear that will prompt you to edit their Home FInder.

Views   Properties within Listingbook that have been viewed by the Client(s) listed in the Client Dashboard. A view is recorded when the Client accesses the full Property Detail page.

Favorites Properties within Listingbook that have been marked as a favorite by the Client(s) listed in the Client Dashboard.

Agent Picks – Properties within Listingbook that you have assigned to the Client(s) in the Client Dashboard. An Agent Pick can be cancelled by selecting the "Remove Pick" in the capsule view on the map or by selecting the property in the One Line view and clicking the "Remove Selected Picks" link above the grid.

Rejects – Properties within Listingbook that have been marked as a reject by the Client(s) listed in the Client Dashboard.

Edit Home Finder – The Edit Home Finder tab allows you to specify or make adjustments your Client's search criteria so that they receive relevant results in their Morning Report.

1. Enter the Property Type. You have the ability to select multiple property types if you need to do so.

2. Enter a Price Range.

3. Enter any applicable Features. Additional Features are available on the right-hand side of the screen. The Additional Features list will change based on the Property Class(s) that are selected.

4. Enter the Area(s) for this Home Finder. Start typing the area of interest into the input box and matching results will populate below. Select an area of interest from the list. Related areas will populate in the box below the input field. To pick related areas, select the area of interest and click the blue arrow. If you need additional areas, clear the area in the input box and repeat the process.

NOTE:  You can also use the rectangle and polygon drawing tools to define your search area. You may use a combination of rectangles and polygons and the number of user-defined rectangles and polygons are unlimited.

5. Click the "Save Criteria" button to save your results.

6. A dialogue box will appear with your Home Finder Statistics. If you are satisfied with your results, select the "I am finished" option and click "Submit." If you would like to continue to edit the Home Finder, select the "Edit Home Finder Criteria" option and click "Submit."

Seller Services – The Seller Services tab allows you to assign a listing(s) to your Client as well as define/edit the competition price range and area so that your Client receives relevant results in their Morning Report.

If the Client has not had a property assigned to them:

1. Select from your current listings. You will want to select this option if the Client you want to assign is an owner of a property that you currently have listed.

OR

2. Enter any address. You will want to select this option if a Client does not have their property listed, but wants to receive relevant market data about their property.

If you select from your current listings:

1. Review the property description. This information is taken directly from the MLS, and may not be changed.  When you are satisfied that you have selected the correct property, click the "Continue" button.

2. Select the appropriate price range at the top of the map.

3. Listingbook defaults the search area to a one mile by one mile square. You have the ability to change this area by:

a. Selecting the square, then click and drag one of the corners. The square's size will increase. You may then reposition the square by selecting it and moving it with your mouse.

b. Use the square and polygon drawing tools in the map toolbar to add additional areas to the map. Once you have added at least one additional area, you can delete the default square if you need to do so.

4. The competition results below the map will update in real time as you manipulate the price range and area. Once a change in either price range or area has been made, the criteria is automatically saved.

If you would like to enter an address that is not one of your listings:

1. In the dialogue box, enter the Street Address, Unit (if applicable), City, State, Zip, Property Class, Property Type and Estimated Price. Click the "Continue" button.

2. Select the appropriate price range at the top of the map.

Glossary




Accounts – Displays the account or accounts associated with your specific client folder.

Home Finder – Displays active listings based on the your Client's search criteria.

Views –  Total number of properties viewed by your client.  A view is determined when a Client accesses a property detail page.

Favorites – Properties your Client have selected as a favorite.

Agent Picks – Properties that you have selected specifically for your Client.

Rejects – Properties that your clients have rejected.

Edit Home Finder – Allows you to specify search criteria for your Client.

Seller Services – Allows you to assign a listing to your Seller by selecting from your active listings or manually entering their address when the property is not currently active in the MLS.

Edit Group Name – Allows you to change the name of the client folder. This is the name that is shown in the "Client Folder" column within the Client Manager - View Clients page.

Create Additional Account – Allows you to enter an additional Client name and email address to your client folder.

Send Message to All – Allows you to send a message to all Clients within the client folder.

Edit Account – Allows you to make changes to your client folder and account settings.

Send Message – Send a Listingbook system message to your Client

Resend Welcome –  Allows you to resend the welcome email to your Client.

Delete – Allows you to delete your Client's account.

FAQs




How do I add a second email name/email address to the same account? - Click the "Accounts" tab. Click on the "Create Additional Account" link directly below the tab. Select a salutation, enter the Client's first name, last name and email. Save your changes and a Listingbook account activation email will be sent on your behalf.

How do I change my Client’s email address or edit their account information? - Click the "Accounts" tab. Under the Manage Account column, click the "Edit Account" account link. Update the appropriate information.

How do I edit my Buyer’s Home Finder criteria? - Click the "Edit Home Finder" tab. If a property class has been previously defined for a Client, an "Edit Criteria" button will be visible, Click the "Edit Criteria" button and make the necessary changes. Once you are satisfied with your changes, click the "Save Criteria" button.

Can I adjust the competition on an assigned property? - Yes. Click the "Seller Services" tab. Listingbook provides a one mile by one mile standard competition overlay. This overlay can be changed by expanding or contracting, depending on the appropriate competition area.  Additionally, user-defined rectangles or polygons can be added as well.  The default price range for competition is +/-10%. Adjustments can be made to the price range by selecting either +/-15%, +/-20% or +/-25%.

Can I assign more than one Property to my Seller? - Yes. Click on the "Seller Services" tab. Click on the "Add A Property" link directly underneath the tab. Select from an existing property or enter an address.

Can I enter a Client as both a Buyer and a Seller? - Yes. If the Client is both a Buyer and Seller, the first step will be creating a Home Finder. This can be accomplished by clicking on the "Edit Home Finder" tab and choosing the appropriate Property Class and specifying the criteria. To assign a property to the Client, click on the "Seller Services" tab and choose an existing property or enter an address.
